Our commitment
The Cabin Equestrian Centre is committed to data protection and privacy. Therefore, we have revised our Data Protection and Privacy Policy to meet the requirements of the new General Data Protection Regulation (GDPR) May 2018. This legislation affects all companies based within the European Union.
What personal data do we collect?
The Cabin EC only gathers specific information that it needs to process entries for British Dressage and British Showjumping competitions, unaffiliated competitions, training clinics and riding club activities.
This policy describes how this personal data will be collected, used and stored to:
- comply with the GDPR
- follow best practice
- protect the rights of BD, BS and unaffiliated competitors and trainees
- show openness about how it stores and processes this data
- to protect itself from the risks of a data breach.
All British Dressage entries are collected via Horse Monkey online system. Horse Monkey processes all payments. They have GDPR compliance in place. The only data seen by The Cabin EC (and non-downloadable) is:
- Rider name
- Horse name
- Level at which they are competing
- Occasionally contact details
- Job (for biography forms for Area Festivals and Regionals only).
All British Showjumping and Unaffiliated Jumping competitions entries are collected via Horse Monkey online system. Horse Monkey processes all payments. They have GDPR compliance in place. The only data seen by The Cabin EC (and non-downloadable) is:
- Rider name
- Horse name
- Classes the riders are competing in
- Address/telephone number/email
For booking into training The Cabin EC needs:
- Rider name
- Telephone number
How does The Cabin EC use your personal data?
We may use your personal data where this is necessary to pursue our legitimate interests as a provider of equestrian activity including to:
- Provide you with services for which you have registered
- Undertake administration in relation to competitions/training for which you have registered
- Provide you with a certificate or other record of learning (riding club activities)
- Contact you directly in relation to the specific competition/training/riding club activity for which you have registered
- Submit results to BD, BS and the Pony Club.
Who does The Cabin EC share your personal data with?
- BD, BS or Pony Club (events for which you have specifically registered for).
How long will we keep your personal data?
The Cabin EC destroys all paper competition and entry forms and biography forms immediately after use. CVs and personal data relating to our staff will be kept on file for the duration of their employment with The Cabin EC.
How do we protect your personal data?
We take all reasonable steps to protect your data from loss or destruction through:
- Using a secure, online portal (Horse Monkey) for all BD, BS and Unaffiliated competition entries.
- Ensuring all IT systems used for storing data are adequate to protect against unauthorised use or disclosure of data and that data is backed up frequently.
- Ensuring all paper-based data is stored securely where unauthorised people cannot see it.
- Performing regular checks and scans to ensure hardware security and software is functioning correctly.
- Not sharing data informally or with third party organisations with the exception of any awarding organisations (BD/BS/Pony Club).
What are your rights?
Under the GDPR you have various rights concerning our use of your personal data:
- Right to access
- Right to rectification and keeping you data up to date.
- Right to erasure
- Right to object
- Right to restrict processing
- Right to data portability.
If The Cabin EC receives any complaint, notice or communication which relates directly or indirectly to the processing of personal data we will respond within two weeks in writing.
